Terms & Conditions

Please read the following terms and conditions carefully before using this website (www.hayoftheheart.co.uk) and/or booking an appointment via email (hayoftheheart@gmail.com). In this document, the phrases “I”, “you” and “your” refer to the client, and the “Hay Of The Heart", "we” or “us” refer to the practitioner at Hay Of The Heart. By booking an appointment and/or attending a Reiki session, you agree to the following terms and conditions. Hay Of The Heart reserves the right to modify, alter, or update these terms and conditions from time to time. By accepting these terms and conditions, you agree to be bound by such modifications, alterations, or updates.

I understand that participation is voluntary and that at all times I may choose to end my participation.

The Purpose of Processing Client Data

To offer Reiki or holistic services, we are required to collect and retain potentially sensitive information about your health and/or current situation, as well as contact and doctor information. We will only use this information for the benefit of undertaking the session, or any holistic therapy services and associated recommendations concerning aspects of health and wellbeing which we may offer to you.


All client records are treated with the utmost respect and are strictly confidential. Your records are stored securely for eight years from the time of the last consultation and we will never disclose client information to a third party without the client's consent or the client's legal representative, unless required by law. We may disclose confidential information without prior consent if it's necessary to prevent serious harm to the client or others, as is required by law.

What Information is Processed

  • client’s name, address, mobile number, email address

  • client’s emergency contact name and phone number

  • client’s doctor’s name, address and phone number

  • any relevant medical conditions, surgical procedures and medication

  • client’s allergies

  • if client is pregnant

  • any other relevant information


How Information is Gathered

We use the services of a third party to gather the information required. This company uses industry-standard protection to safeguard its users, including TLS1.2 / SSL certificates, so all information is encrypted and secure.


Information Gathered During The Session

During each Reiki session, we will gather and store the information you share with us so we can keep proper records of our sessions together and allow us to look back over previous session notes, if needed.

This information includes, but is not limited to:

  • if you’ve had Reiki in the past

  • your reason for the session

  • any significant changes since your last session (if it was with us)

  • what was discussed in the session

  • any specific areas of your physical, mental or emotional life that you wish to work on

  • your affirmation

  • your session preferences, such as if you are happy with the use of essential oils

  • your experience of the session

  • if you were advised to seek medical advice


Request of Records

I understand that I have the right to request a copy of all records relating to me and my sessions held by Hay Of The Heart.


Right To Be Forgotten

I understand that at any time I can withdraw consent and request all personal details held by Hay Of The Heart to be deleted, under the conditions of GDPR. Under these circumstances, all further Reiki services, workshops and/or retreats will cease.

Each request will be handled and reviewed on an individual case by case basis and will be processed or rejected in line with the UK GDPR.

Reiki for Pregnant Woman

If I am pregnant, I understand that I participate fully at my own risk and that of my unborn child/children. I will consult with the practitioner prior to any treatment and obtain consent from my doctor to participate.

Putting some time aside to receive Reiki during your pregnancy can be a wonderful experience for both yourself and your unborn baby, and as a non-invasive therapy is considered safe for both the mother and baby.


Client Inclusion

We are proud to operate an LGBQT+ safe and neurodivergent aware business where your race, colour, creed, gender, and sexual orientation are respected. We wish for all our clients to feel welcome and safe, to express themselves freely without fear of judgement.


Male Clients

If I am male, I understand that I am not permitted to attend any group classes, events or retreats intended for women only.

Guests

I am fully aware that no other guests or children are permitted to be present during my appointment.


What is Reiki?

Reiki is a safe, gentle, non-intrusive hands-on healing technique which uses spiritual energy to ease some physical ailments, and bring about wellness and aid in deep relaxation. Reiki always works for the person's highest good, using only 100% love and light energy.


I understand that the practitioner cannot guarantee any particular outcome from the services offered.

Benefits of Reiki

To give you an idea of the possibilities of reiki, here is a list of some of the ways it could assist you, but the list is quite possibly endless! As a holistic therapy, meaning of mind, body and soul, it can help;

  • Physically, by alleviating pain, reducing stress and tension, and accelerating the body’s natural healing ability

  • Emotionally; such as depression, anxiety, fear, guilt, jealousy, and the releasing of anger and unwanted habits and addictions

  • Mentally; such as releasing and letting go of negative thoughts, emotions, or beliefs about yourself, others and the world, and gaining mental clarity and insight on a situation


In addition, Reiki promotes love, compassion, understanding and acceptance of self and others, and even helps enhance intuition, self-awareness and spiritual development.

Please note that Reiki cannot be directed to treat a specific issue or problem. The energy naturally flows to wherever your body and system need it most, which means no particular outcome can be guaranteed.

What is a Reiki Practitioner?

There is a common misunderstanding that a Reiki practitioner is a “healer”, and that healing energy is “coming from” the practitioner themselves, but this is incorrect. Reiki energy is channelled from Source (meaning “God”, “the Universe”, “all that is” etc), by the practitioner, to the recipient, and will travel to wherever it’s needed within the physical body. The Reiki practitioner acts as a “vessel” in which Reiki energy flows through, from Source, to you, the client.

We are Not Medical Professionals

As a Reiki practitioner, we are not medical professionals and therefore unable to diagnose any condition and certainly do not promise a cure for any medical condition, illness or disease. If you are concerned, it is advised that you speak with your doctor, as Reiki is not to be used in place of medical assessment or treatment by your doctor.

What Happens During a Reiki Session?

After your booking is confirmed, we will email you a Client Record Form, which must be completed and submitted as soon as possible. You will also receive a selection of Reiki affirmations to choose from; please reply with your chosen affirmation before your session, as this helps guide the intention of your session.


After any questions or concerns have been addressed, you will be invited to make yourself comfortable on a massage table by lying on your back with your eyes closed and encouraged to relax by closing down the mind and breathing deeply.

Reiki uses a combination of hands-on and hands-off placements on various parts of your body, always avoiding sensitive and private areas. These typically include, but not limited to; your head and face, shoulders, chest, naval, hips, thighs, knees, shins, and feet. You will remain fully clothed during your Reiki session as it is only necessary to remove your coat and shoes.

We end with a your aftercare instructions.

During the Reiki session, we will use essential oil sprays, burn sage, incense sticks and/or Palo Santo holy wood to cleanse the energy. If this is not to your liking, please make us aware of this before we begin and they will be omitted.

What Does Reiki “Feel” Like?

As you receive Reiki energy and old, stagnant energy is released, you may experience a range of sensations such as tingling, pulling or pushing sensations, hot and cold sensations, feelings of floating, seeing colours or having images or memories popping into your head. Please know that this is a completely normal and natural response to energy work.


You may also experience an emotional release, either through tears or even laughing out loud. If this were to happen, please trust that this is absolutely OK with us and there’s no need to feel embarrassed as it is our hope that people feel safe and supported to express their experience fully. People often speak of an overwhelming feeling of love, gratitude and deep calm while receiving Reiki.

What to Bring to a Reiki Session

Please come to your appointment wearing comfortable clothes. It might be a good idea to bring a notepad and pen to write down your experience, for your own interest and personal development. You are more than welcome to bring things that will aid your comfort levels such as fluffy socks, should you wish. Neurodivergent comfort items, including fidget toys, teddies etc are also welcome.


Aftercare

It is important to drink plenty of water following a Reiki session to help flush out toxins from the body. Note: if you have any health problems, particularly any related to water retention, please seek medical advice before drinking extra water. People with diabetes and high or low blood pressure should be aware of how they feel while receiving Reiki and consult with their doctor regarding the reassessing of medication dosage.


I understand that I may experience ‘healing reactions’ during the 24 to 48 hours following the services provided, which may include flu-like symptoms, and take full responsibility for my health and wellbeing, consulting with a doctor if necessary. This can be the body's way of working through and releasing energy blockages.

How Many Sessions Will I Need?

The number of sessions you may need depends on many factors such as severity of your issue and what is being treated. For minor issues or to bring about relaxation and alleviate stress, two sessions may be enough. Major illnesses are likely to require many sessions, and afterwards it might be a good idea to have a “top up” session every few months to keep the energies balanced. For very serious or chronic conditions, it is generally accepted to give four sessions, on consecutive days if possible, or at least two per week would be ideal, followed by regular “top ups”.


All in all, there is no set answer to how many sessions are required. It is not possible to “overdose” on Reiki, as it is quite safe! Many find it to be a very pleasant addition to their self-care routine.

Right to Refusal

We have the right to refuse services should we suspect that you are under the influence of alcohol or mind-altering drugs, or if you are intimidating, suggestive or offensive in any way, or if you behave in any way which may lead us to feel in any way unsafe, disrespected or abused.


Taking An Active Role In Your Healing

It is important to understand your personal role in your own healing journey and to recognise that you can, and are encouraged, to take an active role in your healing. This may include making the necessary lifestyle changes and facing up to the possible problems in your life, with love and compassion for yourselves. Reiki always works for our highest good and can help us to face these challenges in a gentle and positive way.


Mobility Notice

Reiki sessions are carried out on a massage table, with the client lying down on their back. If you are unable to be positioned in this way, it is might possible to arrange for a seat to be provided for you. If you require this modification, please let us know before you book. Please also note that the toilet facilities at the Friary Road location are located upstairs, should you wish to use it.


Location & Parking

Full location and parking details will be provided after full payment for your appointment or event has been received and will be sent to you via the email you provided. Please note that vehicles are left at the owner's risk and we do not accept any responsibility for any damage caused to your vehicle while attending an appointment, class or event.

Personal Property

I take full responsibility for any item of personal property pertaining to loss, damage or theft while attending my appointment or booking.

Long Distance Treatments (Reiki sent to me in my home without the practitioner present)

In addition to the points made above, the following applies to long distance Reiki services:

I acknowledge that long distance services are to take place during an agreed time with my practitioner, in a space where I am able to fully relax and give my full attention, without distraction, ideally while lying down in a quiet space in my home and I accept full responsibility for my home space and the health and safety precautions within this space.


Cancellation & Reschedule Policy

We understand that unforeseen circumstances may arise, leading to the need for cancellations or changes to your session plans. If you are unable to make your booking, please notify us as soon as possible via email at hayoftheheart@gmail.com

If you need to cancel or reschedule with more than 24 hours notice, we can offer you either;

  • a full refund

  • transfer your booking to a future date, depending on availability

If you need to cancel with less than 24 hours notice or fail to show;

  • No transfer option will be provided

  • No refund will be given

If Hay Of The Heart has to cancel a session or event due to sickness or low numbers (in the case of a group class or event), you will be notified via email and a full refund and/or transfer of ticket to a future session or event of equal value will be offered, depending on availability.

Please do not attend if you feel unwell or display any Covid-19 symptoms, to ensure the safety of your practitioner and other clients.
